We are pleased to announce the upcoming Release of BenefitElect (BE). As always, we hope the features and fixes demonstrate our commitment to you, our clients, software that is designed to help you be successful as you navigate the world that is Benefit Administration. Here is a breakdown of items addressed in the release
Break in Service
System has been modified to clear the new hire flag setting and the set the enroll by date to blank when BIS rules are applied for an employee via IBC (Inbound Census). This was already occurring when BIS rules were being triggered for rehire using the application
Close Open Enrollment
Close Open Enrollment has been modified for MDV (Medical Dental Vision) to no longer require manual enrollments if over age dependents are not included for coverage for new plan year in scenarios such as an employee waive or EO (Employee Only) tier selection.
Corrected issue during Close Open Enrollment process, based upon some unique configuration, Voluntary Life Plans did not always get elections established for new plan year.
Corrected issue during Close Open Enrollment with fetching current elections for a plan that has been discontinued for several plan years. System will now properly fetch the new mapped plan id and not cause COE to fail on applicable employees.
Confirmation Statements
Corrected scenario downloading a confirmation statement while using a Chrome browser that was sometimes being treated as an .aspx page instead of a .PDF.
Default New Hires
We have modified schedulers including Default New Hires scheduler to clear out the NextRunOn date field whenever an existing schedule is modified. This change ensures the schedule will run on the expected time frame.
Employee
New state codes available for use in system:
- AS American Samoa
- GU Guam
- VI Virgin Islands
**Note, these were deployed to production prior to release.
Enrollment Site
A new pop up message will display to employees after they have initiated a life event and completed any election updates that indicates the following:
“Your benefits have been confirmed, but they will not become active until the changes have been approved by your HR Admin.”
Employees will be required to click “OK” to acknowledge message
Life Event Date validation messaging to users has been improved from “Enter the valid date” to instead indicate: “Invalid Date: Date must be formatted mm/dd/yyyy” .
While on enrollment site, system will ignore any auto complete settings on browsers for all Dependent and Beneficiary fields. All supported browsers are included in the change. Screens affected are: About You, About your Dependents, About your Beneficiary, and all Life Event pages where dependents can be added.
This is to protect users from using auto complete and inputting their own personal information in the dependent/and beneficiary fields.
Corrected situation where dependents no longer having coverage after elections have been confirmed were not being cleaned up and this was impacting the system as if Open Enrollment was still in process for the affected employees.
On the 4.6 enrollment site theme, if there was a required question that was unanswered there was no validation pop up messaging occurring to user. This has been changed and user is no longer allowed to move on until all required questions for applicable election are completed.
Life Events
Life event handling has been modified in scenario where an employee was terminated while having a life event still in progress and then employee gets re-hired.
System does the following now upon rehire:
- life event will be undone if in progress/unconfirmed and denied if pending.
- Here is the messaging: “This employee had a pending life event that was dropped due to termination, the life event will need to be resubmitted if the changes are still necessary”
- When the rehire is processed via IBC, the IBC log will indicate the life event was denied alerting HR Admin with same messaging as provided in the User Interface.
- If the life event was pending and Break in Service is enabled, a note will be added to the employee record with the text as well.
User Roles
New HR Admin role entitled “Allow to Enroll” as an exception to the existing “Read Only” option under Employee Data access.
This setting is only required to be enabled in scenario where you have a read only user for employee data, however, the user is allowed to access enrollment site on employee’s behalf and complete the enrollment process.
Once on the enrollment site, user will be able to update demographic data (if enabled for edit).
Note, the user is NOT allowed to update extend open enrollment until OR must enroll by dates. The intention is for the user to access enrollment site for employees that are currently in open enrollment.
Technical
Several technology upgrades included with this release.
Changes have occurred to support the new Reporting tool that is being worked on. More details in a future release.
